How we use your information

What we collect

• Your email address, to create your family account and send sign-in codes. We never ask for a password.
• Parent or guardian name, your role in the family, and (optional) phone number and job title.
• Your state, county and (optional) ZIP code.
• Optional T-shirt sizes, used only for events that offer shirts.
• Your mailing address, only if you choose to receive invitations and thank-you letters by mail.
• Each child's first name, age, grade and school, and (optional) the full name you want printed on certificates. We do not ask for birth dates or photos.
• For each event: who is coming, optional food needs, your consent choices, and at the event, check-in and activities.

Why we collect it

• To run events: plan space, volunteers and food, check families in, and send confirmations and certificates.
• Age and grade: to check eligibility and plan age-appropriate activities.
• School, county and ZIP: to see which schools and communities we reach, so we can include everyone. Reports use totals only.
• Phone: only to reach you on event day if needed. Mailing address: only for event mail you opted in to.
• Your account keeps your family's details and event history, so you don't re-enter them every time.

Who sees it

• The event organizers. Volunteers see only a child's first name when scanning a badge.
• Service providers that host this website, store data and send email, only to provide those services.
• We never sell your information or use it for advertising.

How long we keep it

We keep your family account and event history while your account is active. If your account has no activity for two years, we delete it. You can ask us to delete your account and all your family's information at any time.

Your choices

You can edit your family's details in My family. Photo and mail permissions are optional. To see, correct or delete your information, email Safia@KSU.EDU.
